Handover packs that cannot double-count.
You know the quarter-end. Forty photos over WhatsApp, three of them the same invoice, and the bank statement still missing after the second email. Kivolio gathers the client's bills and documents as they arrive and gives you one ZIP per period on the client's own letterhead, with a cover sheet that says what it is and what it is not.
Your clients' accounts are free. No card from them while you fund the seat. If the engagement ends, their records stay theirs.
real app, anonymised data
on the client's own letterhead
One real batch: 31 MB of source files, 9.9 MB handed over.
Clients over £50,000 gross have been reporting quarterly since 6 April 2026 — gov.uk, fetched 2026-09-10. The £30,000 wave joins on 6 April 2027 and the £20,000 wave a year later — same source, fetched 2026-09-10. Each one is four collection rounds a year instead of one.
Dates and figuresWhat a handover is.
- 01Per project, one date range, one ZIP. Preview the cover sheet in the browser before anything is downloaded.
- 02The cover sheet is on the client's letterhead, not ours.
- 03Each handover records which bills it contained. Re-run the period and you receive only the stragglers.
- 04Void a batch and its bills are released for the next one.
- 05The date range is stated as a claim. Where the sender chose a subset, the cover sheet says so: "not necessarily every document in that range".
- 06History shows every batch with its document count.
per-batch document counts
Nobody is surprised by the AI bill.
What the reading costs is visible in the cost meter in Settings, per sync run and per month. Every account has a hard cap, $25 a month by default, that only the owner can lift. Text-layer PDFs are read as text, which is far cheaper than a scan's vision call.
disagreeing fields marked
It tells you what it does not know.
Possible duplicates are proposed, one pair at a time, with the fields that disagree marked. A person confirms or says "not this". Rejections are remembered permanently.
Nothing in duplicate review deletes a bill.

What practices ask first.
Who pays for the AI reading?
It is visible per client, per sync run. Every account has a $25 a month hard cap by default. Nobody gets a surprise bill and neither do you.
Is it MTD software?
No. Nothing here files to HMRC. It is where the client's records are gathered so that whoever files starts complete.
Can I trust the records?
Every bill carries its source. Duplicates are proposed for a person to confirm, never merged. Nothing in duplicate review deletes a bill. The cover sheet says when a pack is a subset.
What if a client leaves?
Their account drops to Free or they upgrade to Personal. The practice cannot delete a client's records, and the client's data is never training data.
Write to hello@kivolio.app. A person answers, and the same email puts your practice on the list for the console.
